Please read them carefully before completing your application. 04 — Application & Health Screening

To apply for an Alalaho retreat, you are required to complete a Health Form prior to your onboarding call. This form asks for information about your physical and mental health history, current medications, and relevant personal background. It is one of the most important parts of our process — not as a barrier, but as the foundation for keeping you and the group safe.

You agree that all information you provide to Alalaho — including in the Health Form, during your onboarding call, and at any other point in the application and programme process — will be truthful, complete, and accurate to the best of your knowledge.

Accurate disclosure is a condition of participation, not only of booking. If it comes to light at any point — before, during, or after a retreat — that you have provided false, incomplete, or misleading information about your health, psychiatric history, medication use, or prior substance use, Alalaho reserves the right to withdraw your place without refund, or to take such other steps as are reasonably necessary to protect your safety and that of the group.

Alalaho will not be liable for any harm, adverse reaction, or negative outcome that arises directly or indirectly from information you failed to disclose or misrepresented during the application process.

Your Health Form and any notes taken during your onboarding call are treated as confidential. They will be held securely and shared only with the Alalaho team members directly responsible for your care and safety — including relevant facilitators and, where clinically necessary, supervising practitioners. By submitting your Health Form, you consent to this limited internal sharing of your health information. For full details of how we handle your personal data, please refer to our Privacy Policy.

Onboarding Call

After reserving your place and paying your deposit, you will be invited to schedule an onboarding call. This call takes place via Zoom or Google Meet and will not be recorded unless you specifically request it and give your permission. The team member conducting the call will take notes in our booking system for later reference and to share with relevant team members as needed.

We must complete all onboarding calls before confirming a place. The call is an opportunity for us to get to know you, answer your questions, and assess together whether this retreat is the right fit for you at this time.

Missed onboarding calls

Completing your onboarding call is a requirement of your booking. If you miss your scheduled call without notifying us in advance:

  • Your reservation will be cancelled and the non-refundable deposit will be retained by Alalaho.
  • You may transfer the value of the deposit toward a new booking, provided you rebook within one calendar month of the cancellation date.

If you miss a second scheduled call without advance notice, your deposit will be forfeited in full and no transfer will be offered.

If you need to reschedule, please notify us as early as possible and we will do our best to accommodate you.

Minimum Age

Participants must be 18 years of age or older to attend an Alalaho retreat. By submitting an application, you confirm that you meet this requirement.

05 — Nature of Service & Informed Consent

This section is important. Please read it carefully before completing your application.

What Alalaho provides

Alalaho offers structured retreat programmes combining preparation, facilitated group and individual support, psilocybin ceremony, and integration — designed to support personal exploration, psychological insight, and wellbeing. Our retreats are led by experienced therapists and guides who bring professional training and ongoing supervision to their work.

Alalaho's services are personal development and psychospiritual in nature. They are not a substitute for medical treatment, clinical psychotherapy, or psychiatric care, and are not offered as such. Participation in an Alalaho retreat does not constitute entry into a therapeutic or clinical relationship as defined by any professional regulatory body.

Psilocybin truffles — what you need to know

Alalaho retreats include a psilocybin ceremony using psilocybin-containing truffles (Phlegromatium sclerotia). Participants are responsible for the independent acquisition of their own truffles in accordance with applicable law. Guidance on how to do this is provided as part of the retreat preparation process.

By proceeding with your application, you acknowledge and confirm the following:

  • You are choosing to engage with psilocybin truffles freely, voluntarily, and of your own autonomous decision, without coercion of any kind.
  • You understand that psilocybin is a psychoactive substance that produces significant alterations in perception, cognition, emotion, and sense of self. These effects are variable, cannot be fully predicted in advance, and will differ from person to person and from session to session.
  • You understand that a psilocybin experience may involve intense psychological or emotional content, including — but not limited to — anxiety, grief, fear, confusion, disorientation, or confrontation with difficult personal material. Such experiences, while challenging, are within the known range of responses to psilocybin and do not in themselves constitute harm or emergency.
  • You understand that physical effects may include nausea, elevated heart rate, changes in body temperature, and impaired coordination and balance during the active period of the experience. You accept responsibility for remaining in the designated safe space during this time and following the guidance of facilitators.
  • You understand that the psychological effects of psilocybin may extend beyond the retreat itself, including during the integration period. Alalaho provides structured support before and after the ceremony, but cannot predict or guarantee individual outcomes, insights, or changes.
  • You confirm that you have disclosed all relevant medical, psychiatric, and medication information in your Health Form, and that you understand the importance of this disclosure for your own safety.
  • You confirm that you are not attending this retreat under duress, as a condition of any other agreement or relationship, or at the direction of any third party.

No guarantee of outcome

Alalaho does not guarantee any particular result, experience, or therapeutic outcome from participation in a retreat. Outcomes are inherently subjective and depend on individual factors that are not within our control. Any statements made in our materials about the potential effects or benefits of psilocybin represent the experiences of others or reflect current research — they are not promises or predictions about your individual experience.

Existing medical or mental health conditions

Psilocybin is not suitable for everyone. There are certain medical and psychiatric conditions, and certain medications, that significantly increase the risk of a difficult or harmful experience. Our screening process is designed to identify these contraindications carefully, and we take this responsibility seriously.

If you have any history of psychosis, schizophrenia, or bipolar disorder; if you are currently taking lithium, MAOIs, or certain antidepressants; or if you are experiencing severe or acute mental health difficulties, you may not be eligible to participate. Our team will discuss this with you during the onboarding process.

You are responsible for disclosing all relevant information. If you are in any doubt about whether participation is appropriate for your health situation, please consult your GP or a qualified healthcare professional before applying — and share their guidance with us.

This is not medical advice

Nothing in Alalaho's communications — including this document, our website, our programme materials, or anything said by facilitators or staff — constitutes medical advice, diagnosis, or treatment. If you have medical questions or concerns, please seek the guidance of a qualified healthcare professional.

06 — Participant Conduct & the Group Container

Alalaho retreats take place in a shared, intentional space. The quality and safety of that space depends on everyone present — participants and facilitators alike — bringing care, honesty, and respect to it. By confirming your booking, you agree to uphold the standards of conduct described in this section throughout your participation in the retreat, including during all preparatory and integration sessions.

Expected conduct

You agree to:

  • Treat fellow participants, facilitators, and all Alalaho staff with respect at all times
  • Follow the guidance of facilitators during the psilocybin ceremony and at any other point where your safety or the safety of others is at stake
  • Remain within the designated retreat space during the ceremony and any other periods where facilitators have asked you to stay present
  • Disclose to the facilitation team, as early as possible, any changes to your physical or mental health that arise before or during the retreat
  • Engage honestly with the preparation and integration process to the best of your ability

You agree not to:

  • Bring any substances — including alcohol, cannabis, or other psychoactive substances — onto the retreat premises without the explicit prior agreement of Alalaho
  • Engage in any conduct that is physically threatening, sexually inappropriate, or psychologically harmful toward any other person at the retreat
  • Record, photograph, or otherwise document any part of the retreat — including other participants, facilitators, or the ceremony space — without the explicit prior consent of all individuals involved and the written permission of Alalaho

Confidentiality within the group

Retreat participants share a private, protected space. What is shared by others in that space — in group sessions, in ceremony, or in informal conversation — is shared in confidence. You agree not to disclose, reproduce, or share the personal disclosures of other participants outside the retreat context, whether during or after the programme.

This obligation of confidentiality applies to all participants equally and continues after the retreat ends. It does not prevent you from speaking about your own experience.

Photography, recording & personal data

To protect the privacy, safety, and dignity of all participants, photography and recording of any kind are not permitted in shared retreat spaces, including the ceremony room, group session spaces, and communal areas, except where Alalaho has explicitly organised and communicated a photography opportunity.

Personal devices should be kept on silent and used minimally during the retreat. Facilitators may ask you to store your device in a designated location during certain parts of the programme.

Alalaho retains the right to photograph and record retreat activities for internal documentation and, where participants have given explicit written consent, for external communications. You will never be photographed or recorded for external use without your prior consent.

Removal from a retreat

Alalaho reserves the right to ask any participant to leave a retreat at any time — before or during the programme — if, in the sole judgement of the facilitation team, their presence poses a risk to their own safety, the safety of others, or the integrity of the group container. This includes but is not limited to situations involving:

  • Conduct that is threatening, aggressive, or harmful to others
  • Concealment of information that would have affected eligibility to participate
  • Arrival at the retreat under the influence of substances not disclosed and agreed in advance
  • Behaviour that significantly disrupts the experience of other participants and cannot be adequately contained

In the event of removal, no refund will be issued. Any costs incurred as a result of early departure — including travel, accommodation, or other expenses — are the sole responsibility of the participant. Alalaho will provide reasonable assistance in arranging safe onward travel where this is within our capacity to do so, but accepts no financial liability for these costs.

Where a participant chooses to leave a retreat early of their own volition, the same refund policy applies: no refund will be issued once the retreat has commenced.

07 — Pricing and Payment

Retreat fees are as stated on the Alalaho website at the time of booking. Alalaho may offer promotions, discounts, or adjusted pricing at its discretion. If you paid a higher price prior to a promotion, Alalaho is not obliged to compensate you for the difference.

All fees are stated in Euros.

Payment Plans

Where a payment plan has been agreed, all instalments must be paid in full before the retreat start date. If a payment is more than 14 days overdue, Alalaho reserves the right to cancel the reservation. In the event of cancellation due to non-payment, amounts already paid are not eligible for refund.

Deposit

All bookings include a non-refundable deposit of €300, which forms part of your total retreat fee. The deposit is retained by Alalaho in all cancellation scenarios, except where your application is declined by Alalaho on health grounds or at our discretion — in which case a full refund including the deposit will be issued.

Cancellation by You

If you need to cancel your booking, the following terms apply based on how far in advance of the retreat start date you notify us in writing to retreats@alalaho.org.

More than 8 weeks before the retreat start date
You are entitled to a full refund of all amounts paid, minus the non-refundable deposit. Alternatively, you may transfer the full value of your payment toward a future Alalaho retreat at no additional charge. Transfers must be applied to a retreat taking place within 12 months of the cancellation date.

Between 4 and 8 weeks before the retreat start date
You are eligible for a refund of 50% of the total retreat fee, excluding the non-refundable deposit. No automatic transfer option is available in this window. If you would like to discuss whether any alternative arrangement is possible, please contact us — we will consider requests on a case-by-case basis, but cannot guarantee any specific outcome.

Within 4 weeks of the retreat start date
Cancellations within this window are not eligible for a refund. At this stage it is rarely possible to fill a vacated place, and the costs associated with your participation have largely already been incurred.

In all cases, please contact us as early as possible if your circumstances change. We will always try to find a workable solution where we genuinely can.

Travel Insurance

We strongly recommend that all participants arrange their own travel and cancellation insurance prior to booking. At minimum, this should cover cancellation due to illness or personal emergency, travel disruption, and medical expenses in the country where the retreat takes place.

One practical note: some credit cards include travel cancellation or disruption insurance as a cardholder benefit. If your card includes this cover, making your full payment by card may allow you to make a claim through your card provider in the event of cancellation. If you would like to pay make your full payment by card for this reason, please contact us at retreats@alalaho.org and we can arrange this via Stripe.

Please be aware that standard travel insurance policies vary significantly in what they cover. It is your responsibility to ensure that any policy you take out is appropriate for your circumstances and the nature of the trip. Alalaho does not recommend specific insurers or policies and cannot advise on the suitability of any particular cover.

Alalaho's refund policy applies regardless of whether you hold travel insurance, and we are not responsible for any uninsured losses arising from cancellation, travel disruption, or early departure.

Early Departure

If you leave a retreat before its scheduled end — whether voluntarily or at Alalaho's request — no refund will be issued. Please refer to the Participant Conduct section for further detail.

Cancellation by Alalaho

Alalaho is committed to delivering every retreat it confirms, and cancellation by Alalaho is an exceptional circumstance. In the rare event that Alalaho cancels a retreat for reasons other than force majeure, you will be offered either:

  1. A transfer of the full value of your payment toward a future Alalaho retreat of your choice, to be used within 12 months, or
  2. A credit note equal to the full value of your payment, valid for 12 months from the date of cancellation, or
  3. A cash refund of all amounts paid, including the deposit, in cases where neither of the above options is workable for you

Where you have already booked travel and incur costs as a direct result of Alalaho's cancellation, we will reimburse reasonable rebooking or change fees up to a maximum of €200, on presentation of supporting documentation. This does not apply where cancellation is due to force majeure.

We will give as much notice as possible of any cancellation and will communicate with affected participants directly and promptly.

Force Majeure

Neither Alalaho nor the participant will be considered in breach of this agreement if the retreat cannot be delivered due to events genuinely beyond reasonable control. Force majeure events include, but are not limited to:

  • War, armed conflict, terrorism, or civil unrest
  • Government orders, travel bans, border or airspace closures
  • Changes in applicable law or regulatory status that render delivery of the retreat unlawful or impossible
  • Natural disasters, extreme weather, or environmental emergencies
  • Epidemics, pandemics, or major public health emergencies
  • Strikes, transport shutdowns, or major disruptions to essential services

Force majeure does not automatically entitle participants to a refund. Where a force majeure event prevents a participant from attending but the retreat proceeds as planned, the standard cancellation policy applies and Alalaho is not in breach of contract.

Where force majeure prevents Alalaho from delivering a retreat entirely, we will offer participants a transfer to a future retreat or a credit note of equivalent value as a first response. Whether a cash refund is available will depend on the nature and financial impact of the event and will be assessed on a case-by-case basis.

08 — Limitation of Liability

Alalaho takes the safety and wellbeing of participants seriously and maintains rigorous screening, preparation, and facilitation protocols. However, participation in an Alalaho retreat involves engagement with a psychoactive substance and an intensive psychological process. As described in the Informed Consent section of these Terms, certain risks are inherent to this work and cannot be entirely eliminated through professional care or careful preparation.

By confirming your booking, you acknowledge that you have read and understood the Informed Consent section, that you have disclosed all relevant health and personal information accurately, and that you are participating on the basis of your own free and informed decision.

What Alalaho is responsible for

Alalaho is responsible for providing its services with reasonable care and skill. This includes conducting thorough participant screening, providing experienced and appropriately supervised facilitation, maintaining a safe physical environment during the retreat, and responding appropriately to medical or psychological emergencies as they arise.

Nothing in these Terms affects any rights you have under applicable law that cannot be excluded or limited by contract, including in relation to death or personal injury caused by negligence, or fraud.

What Alalaho is not responsible for

Subject to the above, and to the fullest extent permitted by applicable law, Alalaho's liability in connection with your participation in a retreat is limited as follows:

Alalaho is not liable for psychological, emotional, or physical responses arising during or after the retreat that fall within the known range of effects associated with psilocybin, as described in the Informed Consent section. This includes — but is not limited to — anxiety, emotional distress, perceptual changes, challenging psychological content, or a difficult integration period following the retreat.

Alalaho is not liable for any harm, adverse reaction, or negative outcome that arises directly or indirectly from information you failed to disclose or misrepresented during the application or onboarding process.

Alalaho is not liable for indirect, consequential, or economic losses arising from your participation or non-participation in a retreat — including lost income, travel costs beyond the €200 reimbursement specified in the Cancellation by Alalaho clause, costs arising from early departure, or losses that were not directly caused by Alalaho's negligence.

Alalaho is not liable for the conduct of other participants during a retreat. While we take reasonable steps to screen participants and maintain the group container, we cannot guarantee the behaviour of individuals, and we are not responsible for harm caused by one participant to another.

Where Alalaho is found liable for any claim arising out of or related to your booking or retreat participation, our total financial liability will not exceed the total amount you paid for the retreat.

Alalaho's services are not medical or clinical services

Nothing provided by Alalaho — including retreat programming, facilitation, preparation and integration support, written materials, or any communication from Alalaho staff or facilitators — constitutes medical advice, clinical diagnosis, psychiatric treatment, or regulated psychotherapy. Alalaho's services are personal development and psychospiritual in nature.

If you have medical or mental health needs that require professional clinical support, it is your responsibility to seek that support from a qualified and licensed professional. Participation in an Alalaho retreat does not reduce or replace that responsibility.

Indemnification

You agree to take responsibility for your own conduct during and in connection with your participation in an Alalaho retreat. If Alalaho incurs costs, losses, or legal liability as a direct result of your breach of these Terms — including providing false or misleading health information, engaging in conduct that causes harm to others, or acting in a way that exposes Alalaho to third-party claims — you agree to reimburse Alalaho for reasonable and documented costs arising from that breach.

This obligation does not require you to indemnify Alalaho against its own negligence, and it does not affect any rights you have as a consumer under applicable law.

09 — Governing Law and Jurisdiction

These Terms and Conditions are governed by the law of the country in which the retreat takes place — Spanish law for retreats held in Spain, and Dutch law for retreats held in the Netherlands. Any dispute that cannot be resolved informally will be subject to the non-exclusive jurisdiction of the courts of that country.

As a consumer resident in the European Union, you benefit from the mandatory consumer protection provisions of the law of your country of residence. Nothing in this section affects those rights, and you retain the right to bring proceedings in the courts of your country of residence.

Disputes

If you have a concern or complaint about any aspect of your experience with Alalaho, we ask that you contact us first and give us a genuine opportunity to understand and address the situation. Most concerns can be resolved through direct conversation, and this is always our preference.

To raise a concern, please contact us in writing at hello@alalaho.org, with a brief description of the issue and your booking reference. We will acknowledge your message within 5 business days and aim to respond substantively within 14 days.

If a concern cannot be resolved informally, and you are a consumer resident in the European Union, you may have the right to refer the matter to an alternative dispute resolution (ADR) body or online dispute resolution platform. Information about EU online dispute resolution is available at: ec.europa.eu/consumers/odr.

Nothing in this section prevents you from exercising any legal rights you have under applicable law.

Changes to These Terms

Alalaho may update these Terms and Conditions from time to time. The version in force at the time you confirm your booking and pay your deposit is the version that governs your booking. Updated Terms apply to new bookings only. We will always publish the current version on our website with the date it came into effect.

Severability

If any provision of these Terms is found to be invalid or unenforceable by a court of competent jurisdiction, that provision will be modified to the minimum extent necessary to make it enforceable, or removed if modification is not possible. The remainder of these Terms will continue in full force and effect. The parties commit to replacing any invalid provision with one that reflects as closely as possible the original intention.

Notices

All formal notices under these Terms should be sent in writing to:

Jennifer Tessler SARL, 85 Boulevard du Général Koenig, 92200 Neuilly-sur-Seine, France | hello@alalaho.org

10 — Data Protection and Privacy

Alalaho is committed to handling your personal data with care, discretion, and full compliance with the General Data Protection Regulation (GDPR) and applicable data protection law.

What data we collect and why

In the course of your application and participation, Alalaho collects and processes the following categories of personal data:

  • Identity and contact information — including your name, email address, and country of residence — for the purpose of managing your booking and communicating with you about the programme
  • Health and psychiatric history — collected via the Health Form and onboarding call — for the purpose of assessing your suitability to participate and ensuring your safety and the safety of the group
  • Medication and substance use information — collected as part of the Health Form — for the purpose of identifying contraindications and calibrating appropriate support
  • Notes from your onboarding call and any subsequent support conversations — held in our booking system for the purpose of continuity of care across the facilitation team

Legal basis for processing

For standard personal data (name, contact details, booking information), Alalaho processes your data on the basis of contract — it is necessary to process this information in order to fulfil your booking.

For special category data — which includes health, psychiatric, and medication information — Alalaho processes your data on the basis of your explicit consent, given when you submit your Health Form and confirm your application. You have the right to withdraw this consent at any time, though doing so may affect your ability to participate in the retreat, as this information is essential to our screening and safety process.

Who your data is shared with

Your personal and health data is treated as confidential. It will not be sold, rented, or disclosed to third parties for commercial purposes.

Within Alalaho, your data is shared only with team members directly involved in your care and safety — including the facilitation team responsible for your retreat, our director of screening, and, where clinically relevant, our supervising practitioners.

Alalaho uses third-party platforms to manage bookings, communications, and video calls — including Zoom, Google Meet, and our booking system. These platforms process your data as data processors on our behalf and are required to handle it in accordance with GDPR. Details of the platforms we use and their data processing arrangements are set out in our Privacy Policy.

We do not proactively share your data with law enforcement or any other external authority. In the event that we receive a legally binding request for data from a competent authority, we are required by law to comply with that request. We will always seek legal advice before responding to any such request and will notify you where we are legally permitted to do so.

How long we hold your data

We retain your personal and health data for a period of 7 years following your retreat participation, after which it is securely deleted. If your application is declined or you withdraw before attending a retreat, we retain your data for 7 years from the date of that decision. Full details of our retention policy are set out in our Privacy Policy.

Your rights

Under GDPR, you have the right to:

  • Access the personal data Alalaho holds about you
  • Request correction of inaccurate data
  • Request deletion of your data, subject to any legal obligation we have to retain it
  • Withdraw your consent to the processing of special category data at any time
  • Lodge a complaint with your national data protection authority if you believe your data has been handled unlawfully

To exercise any of these rights, please contact us at hello@alalaho.org. We will respond within 30 days.

Privacy Policy

This section provides a summary of Alalaho's data processing in the context of retreat bookings. For full detail — including information about cookies, website analytics, marketing communications, and your rights in relation to all data we hold — please refer to our Privacy Policy, available at alalaho.org/privacy-policy.
